Services for Schools Online Ordering System
Our service protects your school’s data by backing it up securely to two ICT data centres at East Sussex County Council. It allows you to restore as much or as little data as you need – from a single file to the full server.
The service can play a vital role in your school’s disaster recovery and service continuity plans.
The service has proved invaluable when important folders and files have been lost. On every occasion missing items have been restored remotely, with accuracy and speed. The knowledge that the backup of valuable work will automatically be made gives us peace of mind. Teaching, administrative and support staff all benefit from this service, which has become an indispensable safety net.
Iford and Kingston Primary School
The service uses a software application installed on your school or academy’s server. This is configured to perform an overnight backup of your important data. The software can back up your School Information Management System (SIMS) and Financial Management System (FMS) databases, shared files and user files and the server configuration settings.
The system encrypts the data before sending it via your school or academy’s internet connection to dedicated RBUSS servers in two of our data centres. Two copies of the data are stored to guarantee your information is safe and secure.
If you lose any data you can contact the Schools Service Desk and ask for it to be restored. We store backups for one calendar month. The oldest stored backup contains a full copy of all backed up files on the server at that time.

Other dedicated server systems, such as Microsoft Exchange (Email) Server can be backed up using additional components. Please contact the Service Desk for further information.
The service does not include:
Backup of curriculum applications may be limited. This is because there are hundreds of these applications and it is impossible to guarantee a successful restore. It is also unnecessary as the applications can be easily re-installed from their original media, for example a CD. As such we do not usually recommend that these applications are backed up.

Ensure you store important files on the server in folders configured to be backed up automatically.
In order to ensure that SIMS and FMS are fully backed up, ensure that you have a ‘SQL Server Maintenance Plan’ in place for these databases. Please contact the Schools Service Desk for more information if required.
The RBUSS service is designed to work over the IS50 East Sussex Network service. If your school uses an alternative network provider you should ensure that you use a symmetric network connection with suitable bandwidth to send the backup files to our central servers. We cannot guarantee the service if you use an alternative network.
To avoid backing up unnecessary data, you can create ‘notbackedup’ folders for storing unimportant or temporary files. As its name suggests, this folder is not backed up and data will therefore not be included in your data band limit.
The service does not include a school site administration facility. You should not attempt to adjust the server configuration or alter the structure of the backed up folders. Any unauthorised modification of the backup configuration may compromise the integrity of the backed up data. If this happens, we reserve the right to make a chargeable repair at our pay-as-you-use (PAYU) rates (Adobe PDF, 48KB) (Adobe PDF, 48KB).

The RBUSS service performs nightly backups on Monday to Friday evenings inclusive during both term time and school holidays.
Sometimes it will be necessary to take the service offline for routine maintenance and upgrades. We will provide at least 10 days’ notice of this. Where possible, we will carry out the work during the school holidays.
We will start all data restores within one working day. We cannot give the exact time it will take to complete each restore as this depends on the amount of data involved. However, we can give you an estimated time once we begin the data restore.
